But the guide overlooks the steep prerequisites that matter more than any hardware recommendation. Bluntly: buying a Copilot+ PC will not make Teams Copilot start summarizing your meetings. The feature hinges on having the correct Microsoft 365 license, a meeting transcript that’s actually turned on, and organizational policies that permit the AI to access your data in the first place.
What HP’s guide actually explains — and what it skips over
HP’s Tech Takes post is a straightforward primer aimed at everyday users. It breaks down Copilot’s core capabilities inside Teams: during a meeting, it can give you a quick summary if you join late; after the meeting, it can generate a recap of decisions and assign action items; in chat threads, it can boil down dozens of messages into a few key points; and it can even draft follow-up messages for you. The guide rightly notes that transcription must be enabled for any of the meeting-specific features to work, and it clarifies that Copilot in Teams is not the same as a Copilot+ PC — though it insists that an NPU-equipped laptop “delivers faster AI responses and smoother performance.”
What the guide leaves out, however, is far more consequential. It doesn’t detail the licensing labyrinth: Copilot in Teams is part of Microsoft 365 Copilot, an add-on that’s separate from standard Microsoft 365 plans. It doesn’t explain that meeting organizers and admins hold the keys to whether Copilot can even appear in a meeting. And it says nothing about the data-governance implications of turning on transcripts, which become searchable, auditable records subject to retention policies and eDiscovery. For the IT professional who’s actually responsible for making this work, HP’s guide reads less like a deployment handbook and more like a glossy feature list.
Licensing: The unglamorous truth

For the individual user or small business trying to decide if this is worth it, the math is simple: if your organization isn’t paying for Microsoft 365 Copilot licenses, the Copilot button inside Teams will either be absent or limited to very basic functions. No amount of NPU horsepower changes that. Microsoft’s own documentation states that Copilot in Teams works across Windows, Mac, web, iOS, and Android. The common denominator is the cloud service subscription, not the local silicon.
HP’s recommendation to buy an EliteBook or OmniBook Ultra Flip 14 is understandable from a hardware vendor’s perspective. But for the specific “faster meeting summaries” promise, the bottleneck is the Microsoft 365 service processing your request in an Azure data center, not the NPU inside your laptop.
The transcript trap: Why this one setting matters most
If the licensing talk bores you, pay attention to transcripts: they are the make-or-break factor for post-meeting Copilot features. HP mentions that transcription must be enabled, but the reality is more nuanced. Microsoft Teams offers two modes: you can enable Copilot “only during the meeting,” which generates a temporary speech-to-text stream that is discarded when the call ends, or you can save a full transcript that persists and powers the Recap tab, post-meeting Q&A, and action-item extraction.
For sensitive conversations where you don’t want a persistent record, the “only during” mode is a decent compromise — you still get live help, but nothing lingers. However, the after-meeting benefits that HP touts (reviewing decisions later, catching up if you missed the call, assigning tasks) demand a saved transcript. That transcript then becomes part of your organization’s data estate: it lives in the meeting organizer’s OneDrive or SharePoint, can be searched, can be held for legal discovery, and must comply with your company’s retention rules.
Administrators therefore face a real trade-off. Enabling transcripts broadly makes meetings far more useful and retrievable, but it also creates an obligation to manage that data. If your org doesn’t have clear retention policies, labeling practices, or permissions hygiene, a transcript could expose sensitive information to people who shouldn’t see it — and Copilot will happily summarize it for them, provided they have access. Microsoft says Copilot respects the user’s existing permissions, sensitivity labels, and policies. That’s reassuring only if those permissions are already airtight. If a sales rep can still view a confidential HR channel’s chat history, Copilot won’t stop them — it’ll just make it faster to digest.
Before you buy a new laptop, read this
If you’re an IT admin or a business decision-maker eyeing HP’s hardware suggestions, focus on what actually drives a successful Teams Copilot rollout. The checklist is starkly different from HP’s:
- License check: Confirm that every user who needs Copilot in Teams has a Microsoft 365 Copilot license assigned. Without it, they see nothing.
- Tenant and meeting policies: Use the Teams admin center or PowerShell to set default behavior for Copilot in meetings. You can allow it for organizers to toggle, force it off, or let it be always on during meetings. Also, be aware that end-to-end encrypted meetings block Copilot entirely.
- Transcription strategy: Decide which meeting types warrant saved transcripts and which should remain ephemeral. Apply meeting templates or sensitivity labels to enforce those choices automatically.

Sales ops teams catch up on account threads without scrolling through days of chat.
The common thread: these teams already had structured meetings, clear note-taking habits, and well-managed channels. Copilot didn’t create order out of chaos; it accelerated what was already ordered. That’s a crucial lesson for anyone hoping that AI will magically fix disorganized collaboration. The tool is most effective when it has clean, accessible data to work with — which means transcripts that accurately captured the discussion, chat messages that contain real decisions, and files stored in the right SharePoint site.
The road ahead
Microsoft is rapidly expanding its Copilot ecosystem, and we can expect even deeper integration into Teams. Forthcoming updates may let Copilot process visual content from screen sharing, tie action items directly into Planner or Loop, and generate more sophisticated comparisons across multiple meetings. But the core dependency won’t change: the AI remains only as good as the data it can access, and that access is governed by licensing, permissions, and the deliberate choice to turn on transcription.
HP’s guide may have been a missed opportunity to prepare real-world users for these realities. Fortunately, the next edition of such primers can borrow from the experiences of admins who’ve already waded through the policy weeds. Until then, treat any “just buy this laptop” pitch with the skepticism it deserves. The fastest path to useful meeting summaries isn’t a new PC — it’s a well-governed Microsoft 365 environment and a clear conversation with your IT team about what you’re willing to let Copilot remember.
